Email account → Outlook

In this manual, we explain how to easily and quickly add an email account to Outlook.

Over the years, various versions of Outlook have been released. In this guide, we'll use Outlook 2013.
Despite the differences between Outlook versions, the principle for setting up an email account remains the same.

If you're using a newer version of Outlook, the screens may differ slightly. The settings and ports in this manual are up-to-date.

Step 1

After starting Outlook, click on: “Add Account”. You will find this option under the link: “File”.
You will then see the following screen:

Don't enter any information here. Simply select the option "Manual setup or additional server types" and then click "Next.".

Step 3

On the next screen, select the option “POP or IMAP” and click “Next”.

Step 4

On the next screen (POP and IMAP account settings), you'll see several fields. Please fill these in correctly.
In this example, we're using the domain name: www.yourdomainname.nl. Instead, enter your own information.

Additional information about ports and security:

To set up your email securely and without errors, we recommend using an encrypted connection. Select the settings below.

Incoming server

  • IMAP (recommended): port 993 with SSL/TLS encryption
  • POP3 (only if you want to use POP): port 995 with SSL/TLS encryption

Outgoing server

  • SMTP: port 587 with STARTTLS encryption
  • If port 587 does not work, use port 465 with SSL/TLS encryption

Login

  • Username is your full email address
  • Authentication is normal password

Tip:
If you only see 'TLS' or 'Encrypted connection' in Outlook, select that. The port numbers above remain the same.

Make sure that the 'SPA' option is unchecked.
After you have filled everything in, first click on “More settings …”

Step 5

You will now see a new screen. On this screen, click the "Outgoing Mail Server" tab.

Here, check the option "My outgoing server (SMTP) requires authentication." Then check "Use the same settings as my incoming server.".

This is the number 1 reason why customers can't send email.

Now click on “OK” and then click on the “Advanced” tab.

Check the ports and security settings on this screen. Use the secure settings below if possible.

IMAP

  • Port: 993
  • Encryption: SSL/TLS

POP3

  • Port: 995
  • Encryption: SSL/TLS

SMTP

  • Port: 587
  • Encryption: STARTTLS
  • Alternative if this doesn't work: port 465 with SSL/TLS encryption

Next, click “OK” and then “Next”.
Outlook will now test your settings, and if you have entered everything correctly, you will see the screen below.

Additional note:

If you've followed all the steps correctly and you continue to receive a message that you can't log in to the incoming/outgoing mail server, it's highly likely you're using the wrong password for the email account in question. We advise you to change the password and then try again.
